Renting Translation Equipment: What Is It and How Does It Work?

Often, English is spoken at international events, both by speakers and participants. However, it’s not always as common as it seems for everyone to understand English. To properly follow the presentations of speakers, it’s necessary to be proficient in the spoken language. If you’re not, it’s difficult to follow the story. Fortunately, there’s a solution: simultaneous translation. Renting translation equipment is the answer. Here, the presentation is simultaneously translated by interpreters, allowing guests who don’t speak the language to listen to the presentation in another language.

This works as follows. The speaker uses a microphone that outputs the audio in the room via speakers. However, the audio is also sent to interpreter booths. Inside these booths are interpreters who speak the translation into the interpreter consoles. This audio is wirelessly transmitted to receivers with headsets. Through the headsets, guests can listen to the translation of the presentation.

What’s Included in This Translation Equipment Set?

Want to rent translation equipment? This translation equipment set is fully prepared for two translations. This means the set contains the necessary technology to translate the spoken language into two other languages. For example, if the presentation is given in English, but guests want to follow the presentation in Italian and Spanish, this set can accommodate that.

This package includes two interpreter booths, each with room for two interpreters. This way, interpreters can seamlessly alternate, ensuring the translation continues without interruption. Each interpreter booth will also be equipped with two interpreter consoles. Furthermore, all necessary transmitters (assuming an ideal space) and a starting number of 25 headsets with receivers are included. On the receiver, guests can choose which translation they want to hear on the headset.

How Do I Determine the Number of Languages Needed?

This varies per situation. It entirely depends on the language skills and origin of your guests. If your guests come from a specific area where two languages are common, this set might be sufficient. If they come from different parts of the world and you’re not sure which languages are needed, have this inventoried through, for example, the event registration form. Then you’ll know in advance what your guests’ needs are.

Then there’s a headset available for every participant. However, this would also mean that none of the participants are proficient in the speaker’s language. Often, the ordered number of receivers is lower than the total number of guests in the room, but the specific number is personal. How Does Connecting This Translation Equipment to an Audio System Work?

To ensure that the interpreters can follow the presentations properly, it is necessary that we receive a ‘feed’ with a mix of all microphones used on the stage. Your audiovisual supplier can certainly help you with this. We’ll take care of the rest.

Are the interpreters included?

No, unfortunately not. The interpreters themselves are not included. We also cannot organize the interpreters for you. This is because many fields require specific knowledge of certain words and language use. Literal translation of words is simply not always possible, as the meaning of the story may no longer be correct. You will have to organize the interpreters yourself. In short, renting translation equipment is possible, but you still need to arrange the actual translators.

What is the difference between a translation equipment set and a whisper set?

There are many technical differences between translation equipment and a whisper set. However, the most practical difference is that with a whisper set, the interpreter stands among the audience, often next to the speaker, instead of in a separate booth. This can cause noise for guests who want to follow the speaker in the original language.

Additionally, the technology of a whisper set is more limited and less suitable for (larger) conferences or presentations. Translation equipment uses very high-quality technology, where our technicians can monitor and adjust many things. The interpreters also have many control options on the interpreter consoles, ensuring unparalleled audio quality for the guests. Another major difference is that translation equipment uses a 2.4 GHz transmitter network, ensuring good coverage for receivers in the event hall.

Can I rent this translation set and set it up and dismantle it myself?

Unfortunately, that’s not possible. To be honest, you shouldn’t want to either. Quite a bit of specific knowledge is required to get such a system up and running. There are so many settings that can be adjusted. Accidentally pressing the wrong button could throw everything into disarray. This is why we only offer translation equipment in combination with setup and dismantling. Renting translation equipment is only possible with transport and setup dismantling service from the Rental Supplier.

Does a translation technician need to remain present at the event?

Are you renting translation equipment but not sure if you want a translation technician present? Know that it’s not strictly necessary, but many clients choose to have one. The translation system basically runs entirely on its own. However, when things need to be changed, it may not work 100% afterward. This is why many clients choose to have a technician with specific knowledge of this system present during the event. You can then always quickly address situations that arise.
